# ZenMail Privacy Policy

Your Gmail data travels directly between Google and ZenMail on your Mac. ZenMail LLC does not run a mail relay or receive your Gmail content through its servers.

## 1. Scope

ZenMail LLC is a Florida limited liability company ("ZenMail," "we," "us," or "our"). This policy applies to the ZenMail macOS application, usezenmail.com, licensing, purchases, product updates, and support. Other companies' services are governed by their own policies.

## 2. Information ZenMail handles

### In the application

ZenMail accesses the Gmail data needed to display and manage your mail and stores a local cache on your Mac. Gmail access tokens are stored in macOS Keychain. Our license service receives limited Google identity information, such as your account identifier and email address, to verify your identity and license; it cannot use that information to access Gmail.

When ZenMail requests a sender-domain icon or public domain-registration information, the requested domain and ordinary network information may be sent to the relevant lookup service.

### Website and communications

When you visit our website, we and our providers receive ordinary network and device information such as IP address, browser type, requested pages, referring page, and timestamps. PostHog receives selected website interactions for product analytics unless your browser sends a supported Global Privacy Control or Do Not Track signal. We do not use session replay or behavioral advertising.

If you request product updates or contact support, we receive your email address and the information you choose to send, such as your message, attachments, screenshots, or diagnostics.

### Purchases and licensing

When you purchase or activate ZenMail, we and Polar may process your contact and billing information, plan, transaction and subscription status, license information, and a device identifier. Polar is the merchant of record and processes full payment-card details; ZenMail does not receive your full card number.

PostHog receives limited pseudonymous product and commerce events, such as account connection, checkout, trial, payment, subscription, and renewal status. These events do not include your Gmail content, raw Google account identifier, or full payment-card details.

## 3. How we use information

- Provide, secure, support, and improve ZenMail.
- Authenticate users and manage trials, licenses, subscriptions, and purchases.
- Send requested product and service communications.
- Prevent fraud, abuse, and security incidents.
- Comply with law and enforce our agreements.

Where law requires a legal basis, we rely on our contract with you, consent, legitimate interests in operating and securing ZenMail, or legal obligations, as applicable.

## 4. Google API data

We use Google user data only to provide or improve user-facing ZenMail features that you request. We do not use it for advertising, credit decisions, or training generalized artificial-intelligence or machine-learning models. No one at ZenMail reads your Gmail content unless you choose to share specific content with us for support, security, or legal reasons.

ZenMail's use and transfer to any other app of information received from Google APIs will adhere to the [Google API Services User Data Policy](https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

## 5. When we share information

We do not sell personal information or share it for targeted advertising. We disclose information as needed to service providers that help operate ZenMail, including Google, Cloudflare, PostHog, Resend, Polar, Sanity, and public domain-lookup services. We may also disclose information when required by law, to protect rights or safety, or as part of a business transaction.

## 6. Storage, retention, and security

Your mail cache is stored on your Mac with owner-only file permissions, and Gmail tokens are stored in Keychain. At-rest protection for the cache depends on FileVault and the security of your Mac account.

We keep other personal information only as long as reasonably needed to provide the Services, maintain security and business records, resolve disputes, or comply with law. We use reasonable safeguards, but no storage or transmission method is completely secure.

## 7. Your choices and rights

You can revoke ZenMail's Google access in your Google Account, remove an account and its local cache in ZenMail, and unsubscribe from marketing through the link in an email. Service messages about a purchase, license, security issue, or support request may still be sent.

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information, or object to certain processing. Email privacy@usezenmail.com to make a request. We may need to verify your identity.

## 8. International use, children, and changes

ZenMail and its providers may process information in the United States and other countries, using legally required transfer safeguards where applicable. The Services are not directed to children under 18, and we do not knowingly collect their personal information.

We may update this policy by posting a revised version and changing the effective date. We will provide additional notice when required.
